Your account
Set your name, photo, language, timezone and work week, pick a theme, secure your sign in, choose your notifications and delete your account.
Your account holds everything that is about you rather than about a project: how others see you, the language and timezone Taskstand works in, how you sign in and which notifications you get. It follows you into every project you work on.
Open your settings
Click your name at the bottom of the sidebar (on a phone: your avatar at the top of the screen) and choose Settings. The settings have these tabs:
| Tab | What you set there |
|---|---|
| Profile | Photo and colour, name, e-mail address, timezone, work week, language, default project view, shortcuts, deleting your account |
| Notifications | Which notifications you get, in the app and by e-mail |
| Calendar | Your calendar links, see Calendar feeds |
| Plan | Your plan, trial and limits, see Plans and limits |
| Security | Password, two-factor authentication and passkeys |
Below the tabs you find links to the Manual, the Terms and conditions and the Privacy statement.
Change your profile
Photo and colour
Your photo or initials show up everywhere you appear: in member lists, on tasks assigned to you and next to your comments.
- Choose photo uploads a JPEG, PNG, GIF or WebP of up to 4 MB. It is cut to a square and saved straight away. Change photo replaces it, Remove photo takes it down.
- Without a photo, your initials show on a coloured circle. By default that colour comes from your name (Automatic colour, from your name). Pick your own with the colour field next to it, or go back with Use automatic colour.
- The colour is saved as soon as you close the picker. With a photo in place, it shows once the photo is removed.
Name and e-mail address
Change your Name or Email and click Save.
Changing your e-mail address asks for your Current password, because that address is the way back into your account. After saving:
- a verification link goes to the new address, and the app asks you to confirm it before you carry on;
- the old address gets a message that the address was changed, so you notice if it was not you.
Until your address is verified, the profile says Your email address is unverified. Use Click here to re-send the verification email. if the mail did not arrive. You also need a verified address to accept an invitation to a project.
Timezone
Timezone is set to Europe/Amsterdam for a new account. Set it to where you work. It decides what "today" means for you: which tasks show in Today and Upcoming, when a task is overdue, and at what time your hours and due times are shown.
Work week
Work week holds the days you work. Pick at least one day.
- Days you do not work are shaded on the timeline.
- The duration of a task is counted in working days ("10 working days" rather than "12 days"), and dragging a bar on the timeline keeps that number of working days.
- A recurring task whose next date falls on a day off moves on to your next working day.
- For a task assigned to you, your work week counts, whoever is looking at it.
Beyond moving a recurring task off a day off, nothing is scheduled for you from your work week: it shades days and counts durations. More in Timeline.
Language
Language can be English or Dutch. It sets the language of the app and of the e-mails you get. A new account starts in the language of the site you signed up on, or else the language of your browser.
Default project view and shortcuts
- Default project view is the view a project opens in: List, Board or, when your own plan carries the timeline, Timeline.
- Single key shortcuts: with this on, q opens quick add and / opens search. Cmd+K (Ctrl+K on Windows and Linux) always opens search, even with this off. The keys on a focused task row (t, m, w, d, 1 to 5) always work too.
Click Save to keep the changes in this form. The photo and colour save on their own.
Choose light or dark, and the density
Theme and density are in the menu under your name, so you reach them from every page.
- Theme: Light, Dark or System (follows the setting of your device).
- Density: Compact, Normal or Airy, for how much fits on the screen.
Both are kept on this device only. Your phone can be dark and compact while your laptop stays light.
Keep your account secure
The Security tab first asks you to confirm your password (or confirm with a passkey), because everything on it guards the way into your account.
Change your password
Fill in your Current password, a New password and Confirm password, then click Save.
Two-factor authentication
With two-factor authentication, signing in asks for a code from an authenticator app on your phone next to your password. Someone who knows your password still cannot get in.
- Click Enable 2FA.
- Scan the QR code with your authenticator app, or enter the Setup key by hand.
- Click Continue, enter the 6-digit code from the app and click Confirm.
Then store your recovery codes. Under 2FA recovery codes, click View recovery codes and keep them somewhere safe, such as a password manager. If you lose your phone, you sign in with login using a recovery code. Each code works once. Regenerate codes gives you a fresh set and makes the old ones useless.
Disable 2FA turns it off again.
Passkeys
A passkey lets you sign in without a password, with the fingerprint, face or PIN of your device.
- Under Passkeys, click Add passkey.
- Give it a name you will recognise, such as "MacBook Pro" or "iPhone".
- Click Register passkey and follow your device.
On the login page you then choose Sign in with a passkey. The list shows when each passkey was added and last used. The trash icon removes one, after you confirm with Remove passkey. Not every browser supports passkeys; if yours does not, the page says so.
Choose your notifications
The Notifications tab lists every kind of notification, each with a switch for In app and one for By e-mail. Everything is on for a new account, and a change is saved as soon as you flip a switch.
| Notification | When you get it |
|---|---|
| Invitations | Someone invites you to a project |
| Assignments | A task is assigned to you |
| Mentions | Someone mentions you in a comment |
| Comments | Someone comments on a task you created or that is assigned to you |
| Members | Someone leaves one of your projects, or an invitation you sent runs out |
Sound plays a short chime when a notification arrives while you have the app open. Turn it off here if you would rather work in silence.
Put your tasks in your calendar
Your tasks can show up in Google Calendar, Outlook or Apple Calendar through a calendar link. You set those up on the Calendar tab; how that works is explained in Calendar feeds.
Delete your account
Delete account is at the bottom of the Profile tab, once your e-mail address is verified.
Before you can delete your account, every project you own has to go to someone else or be deleted, finished and archived projects included. The dialog lists them, with a link to each. Open a project's members, choose Make owner for another member, or delete the project. See Members and roles.
When you delete your account:
- your account, folders, notifications and photo are deleted;
- a timer you still had running is stopped first, so the hours are saved;
- tasks, comments, files and hours you added to other people's projects stay there, without your name on them.
Enter your password and click Delete account to confirm. This cannot be undone.
Terms and privacy
The Terms and conditions and the Privacy statement are linked below the tabs in your settings, in your own language.
